Serviced Apartment Cleaning: A Guide for Bristol Operators

By Stone & Key · Published · Last updated

Running one serviced apartment is a cleaning job. Running twenty is an operations problem. The question operators ask isn't "can someone clean this flat?" — it's "how do I keep every unit at the same standard, week after week, without managing a tangle of suppliers?"

This guide is for serviced apartment and aparthotel operators, corporate accommodation providers and property managers in Bristol. It covers what serviced apartment cleaning actually involves, how to keep standards consistent across a portfolio, and what to agree with a provider before work starts.

Clean, modern serviced apartment living space ready for the next guest

What serviced apartment cleaning covers

The tasks look similar to domestic cleaning, but the job is fundamentally different. A serviced apartment is prepared for the next guest rather than maintained for an occupant, and each visit typically combines several things:

  • The clean itself — kitchen, bathrooms, bedrooms and living space to a written specification
  • Linen and towel changes — beds stripped and remade, towels replaced, every time
  • Consumables replenishment — toiletries and kitchen essentials restocked to an agreed par level
  • Condition reporting — damage, maintenance issues and missing inventory flagged back to your team

That combination is why serviced apartment work sits closer to hotel housekeeping than to a weekly domestic clean — and why it pays to use a provider set up for it.

Changeovers versus mid-stay servicing

Most portfolios need two distinct visit types, and it's worth pricing and scheduling them separately:

Full changeoverMid-stay service

CleaningFull apartment to specificationLighter refresh — bathrooms, kitchen, floors
Linen and towelsFull changeUsually towels, plus linen on longer stays
ConsumablesRestocked to par levelTopped up as needed
Typical useEvery guest departureCorporate and contractor stays of a week or more

Mid-stay servicing keeps longer-stay guests comfortable and protects the apartment, without the cost of a full changeover every few days. Agree the frequency and scope with the guest or booker at the point of booking, and make sure your provider can schedule both types.

Keeping standards consistent across units

Consistency is the whole game. A business guest who stays in unit 4 one month and unit 11 the next should find them identical. That doesn't happen by hiring good cleaners and hoping — it happens through a written specification:

  • One checklist for every unit. If you have a brand standard or housekeeping specification, hand it over. If you don't, write one with your provider — it becomes the reference point for every clean and every quality check.
  • Defined presentation. How beds are dressed, where towels are placed, how consumables are arranged. Photographs of a correctly turned unit help enormously.
  • A way to catch drift. Periodic spot checks or photo reporting after cleans, so standards are verified rather than assumed.

Coordinating linen and consumables

At portfolio scale, linen stops being something you buy and becomes something you manage. Fresh linen and towels for every unit, every changeover, plus toiletries and kitchen essentials restocked to par levels, is a supply chain in its own right.

Operators generally have three options: run it in-house (storage, laundry relationships and stock management included), contract separate suppliers for linen and consumables, or have the cleaning provider coordinate everything. The last option means one schedule and one invoice — through our specialist supply partner, we arrange linen, towels and consumables alongside the cleaning, sized to each unit's beds and bathrooms. Our linen and consumables guide covers quantities and logistics in more detail.

Reporting and invoicing

Two administrative points are worth agreeing before the first clean, because they're painful to fix afterwards:

  • Condition reporting. Your cleaners see every unit more often than anyone else. Agree that damage, maintenance issues and missing inventory are reported — with photos — after each visit, so problems surface in hours rather than at the next inspection.
  • Consolidated invoicing. One invoice covering all units, on a cycle that suits your finance process, with ad hoc extras recorded clearly. Chasing paperwork per clean per unit does not scale.

Choosing a provider

Questions to ask a prospective provider

  • Will you work to our written housekeeping specification — and help us write one if needed?
  • Can you handle both full changeovers and mid-stay servicing?
  • Can linen, towels and consumables be coordinated with the cleaning?
  • How is condition and damage reporting handled after each visit?
  • What happens when occupancy spikes — can you add cover at short notice?
  • Is invoicing consolidated across the portfolio?
  • Who is our point of contact, and what happens when they're away?

Start with a handful of units if you can. A provider who keeps five apartments consistently right for a quarter has shown you more than any proposal document will.

Frequently asked questions

How is serviced apartment cleaning different from domestic cleaning?

The tasks look similar, but the operation is different. Serviced apartments turn over between guests rather than being maintained for an occupant, work to a written specification that's identical across every unit, and usually include linen changes, consumables restocking and condition reporting as part of the visit.

What is a mid-stay service?

A lighter visit during a longer stay — typically fresh towels, a linen change, a bathroom and kitchen refresh and a quick vacuum — agreed for corporate or contractor guests staying a week or more. It keeps the apartment presentable without a full changeover.

Can a provider follow our own housekeeping checklist?

A good one will. If you already have a brand standard or housekeeping specification, share it and ask the provider to quote against it. If you don't, ask them to help you write one — it becomes the reference point for quality checks.

How is portfolio cleaning usually invoiced?

Most operators want one invoice covering all units rather than paperwork per clean. Agree the invoicing cycle and how ad hoc extras are recorded before the service starts, so finance stays simple as the portfolio grows.
